Trucking company email lists: what to know before you send

How agents use trucking contact data responsibly: who to email, what to say, and how to stay on the right side of the rules.

Start with a reason to write

An email works when it refers to something real about the carrier: a new authority, a cancelled policy, a deadline. Generic mass emails to a bought list tend to be ignored and can damage your sending reputation.

Rules to follow

  • Include your real business name and mailing address in every email.
  • Give a clear and working way to opt out, and honour it quickly.
  • Do not use misleading subject lines or sender names.
  • Check the rules for the country you are sending from and to, such as CAN-SPAM in the US and CASL in Canada.

This is general information, not legal advice.

A simple sequence

  1. Email 1: say why you are writing and offer a quote.
  2. Email 2, a few days later: a short reminder with the deadline.
  3. Email 3: a last note, then stop.
